When Willie
Carlisle from Alabama State University contacted
Relyco in 2004, he was searching for a solution
that would enable him to streamline the
University’s printing processes. For years
they had been running
continuous forms through impact
printers, and then manually folding and stuffing
the printed checks and other forms into
envelopes. They knew there had
to be a better way, but the project had been
postponed for a number of years.
“We always
have so many IT projects happening at once,”
says Carlisle. “We hesitated to add
one that would change the way we print and
process our vital documents. We thought it
would take months to complete, and would
therefore have a potentially negative impact on
our current process.”
After the
very first discussion, Doreen at Relyco knew
that she had the perfect solution for the
problem. “Based on the number of different forms
and the volume of pages they print, they were a
perfect candidate for
converting to laser printers and
pressure seal
mailers.”
All Willie
had to do was send text files to Relyco
containing the variable data for each form.
Relyco was then able to design the checks and
forms in a pressure seal format using their
TCWS check writing software. Not
only did the software add security and enhanced
reporting to their check printing, but it also
enabled them to print to Relyco’s
Pressure Seal one-piece mailers. This
change made it possible for them to process the
forms faster and eliminate envelope inserting.
“After
literally just a few clicks on the computer, the
pages come off the printer and are ready to be
loaded into the
Formax pressure seal machine. The
equipment is just amazing – it’s so fast that
our checks and forms are ready to be distributed
to employees or put in the mail within just a
matter of minutes.”
Now the
University prints payroll checks, deposit
advices, A/P checks, grade reports, billing
statements, housing letters and tax forms, all
through the
TCWS check writing software. Their
printing and processing times have been
greatly reduced, and much of the manual labor
burden has been removed.
“Looking
back,” said Carlisle, “converting to pressure
seal was much simpler than we thought it would
be. Relyco had all the pieces of the
puzzle for us to get this done. Relyco
made it easy.”
